Deep Professional Services Pty Ltd (ABN 95 702 114 447) is committed to protecting the privacy of the personal information we collect and hold. This policy explains how we manage personal information in accordance with the Privacy Act 1988 (Cth) and the thirteen Australian Privacy Principles (APPs), including our obligations under APP 1 to manage personal information in an open and transparent way.
This policy applies to visitors to our website at deepprofessionalservices.site, clients, prospective clients, suppliers and any other individuals whose personal information we collect in the course of providing professional consulting services.
2. Who we are
Deep Professional Services Pty Ltd is a professional consulting practice based in Perth, Western Australia. For the purposes of the Privacy Act 1988 (Cth), we are an APP entity and are bound by the Australian Privacy Principles in the handling of your personal information.
3. What personal information we collect
The types of personal information we may collect include:
- your name, email address, postal address and other contact details;
- details of your business or organisation, such as your role, industry and ABN where relevant;
- information you provide when requesting a quotation or engaging our services, including project details and supporting documents;
- records of our communications with you, including emails and form submissions;
- billing and invoicing information necessary to deliver our services and meet our tax and record-keeping obligations; and
- website usage information, such as pages visited, browser type and referring website, collected through cookies and analytics tools.
We do not collect sensitive information (such as health information or information about religious or political beliefs) unless it is reasonably necessary for one of our functions, you have consented, or the collection is required or authorised by law.

- responding to your enquiries and providing quotations;
- delivering our professional consulting services and managing client relationships;
- issuing invoices, processing payments and meeting our tax, accounting and record-keeping obligations under Australian law;
- communicating with you about services, projects and information you have requested;
- improving our website, services and client experience; and
- meeting our legal and regulatory obligations, including under the Spam Act 2003 (Cth) and the Notifiable Data Breaches scheme.
We will not use or disclose your personal information for a purpose other than the primary purpose of collection unless you have consented, you would reasonably expect the use or disclosure, or the use or disclosure is otherwise permitted by the Australian Privacy Principles.
6. When we disclose personal information
We do not sell or rent personal information. We may disclose personal information to:
- professional advisers who support our practice, such as accountants and auditors, under obligations of confidentiality;
- service providers who host our website, email, analytics and document systems, some of which may store or process data outside Australia;
- government bodies, regulators or courts where disclosure is required or authorised by Australian law; and
- other parties with your consent or as you direct.
Where we disclose personal information to a recipient located overseas, we take reasonable steps to ensure the recipient does not breach the Australian Privacy Principles in relation to that information, in accordance with APP 8, including through appropriate contractual arrangements.

Our website uses cookies and similar technologies to remember your preferences and to understand how visitors use the site. You can configure your browser to refuse cookies or to alert you when cookies are being used; however, some features of the website may not function fully as a result. Analytics information is used in aggregated, de-identified form wherever possible.
8. Security and retention of personal information
We hold personal information in secure electronic systems protected by appropriate technical and organisational measures, including access controls and passwords. We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure, in accordance with APP 11.
We retain personal information only for as long as it is needed for the purposes outlined in this policy or as required by law. For example, financial records are generally retained for a minimum of five years under Australian tax law. When personal information is no longer required, we take reasonable steps to destroy it or ensure it is de-identified.
9. Data breaches
If we become aware of a data breach that is likely to result in serious harm to individuals whose personal information we hold, we will carry out a timely assessment and, where required under the Notifiable Data Breaches scheme, notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable.
10. Access to and correction of your personal information
You may request access to the personal information we hold about you under APP 12, or request that we correct personal information that is inaccurate, out of date, incomplete, irrelevant or misleading under APP 13. To make a request, please email ceo@deepprofessionalservices.site.
We will respond to your request within a reasonable period, generally within thirty (30) days. There is no charge for making a request; however, we may charge a reasonable fee for the costs of providing copies of the information. If we refuse your request, we will provide written reasons and information about how you may complain about our decision.
11. Direct marketing
We will only use your personal information for direct marketing where this is permitted under APP 7 and the Spam Act 2003 (Cth). Every marketing communication we send includes a clear way to opt out, and you may also ask us to stop sending direct marketing at any time by emailing ceo@deepprofessionalservices.site. We will act on your opt-out request promptly.
12. Anonymity and pseudonymity
Where it is lawful and practicable, you have the option of dealing with us anonymously or using a pseudonym, for example when making a general enquiry about our services. In most cases, however, we will need your name and contact details to provide a quotation or deliver services to you.
13. Government identifiers
We do not adopt, use or disclose government-related identifiers, such as tax file numbers, except where the use or disclosure is permitted under APP 9, for example where required by law or necessary to verify your identity as expressly authorised.
14. Making a privacy complaint
If you believe we have breached the Australian Privacy Principles or mishandled your personal information, please contact us at ceo@deepprofessionalservices.site with the details of your concern. We will:
- acknowledge your complaint promptly, generally within five (5) business days;
- investigate the matter fairly and respectfully; and
- provide a written response, generally within thirty (30) days.
If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner via www.oaic.gov.au.
15. Changes to this policy
We may update this privacy policy from time to time to reflect changes in our practices, technology or legal obligations. The current version is always published on this page. If we make material changes, we will update the date shown at the top of this policy.
